Each issue we will focus on a different aspect(s) of the student experience. For this newsletter, we asked Elizabeth Balcazar, Alumni Services Coordinator, and Financial Aid, what questions are frequently asked by students. They provided us with the following:

13. Important note on Placement Files

1. How do I set up a placement file account?

Visit http://wgu.credentialfiles.com to register for a placement file account.

2. I forgot my username and password. How can I retrieve my information?

Click on the link that asks if you have forgotten your username or password. Enter your e-mail address and the center will e-mail your username and password to your e-mail address.

3. How long does it take for my placement file to be delivered?

Twenty-four (24) hours is the standard time to allow for your file to be sent out.

4. I have not received a confirmation that my placement file was delivered. What is the status?

On your file homepage, it will show an N for NO or a Y for Yes, it has been sent out, by the request you’ve made. You will then need to contact the district to make sure they have received it.

5. How many letters of recommendation can I upload in my placement file account?

Three (3) is the recommended amount.

6. I want prospective employers to access my placement file. What is the web site address I should give them?

Only you and WGU Administrator are able to access your file. If a district has questions they can e-mail support@credentialfiles.com and a response will be e-mailed to them.

7. How do I delete a document from my placement file?

In order to delete a document, a blank document needs to be uploaded in place of the old one. The same needs to happen if you want to change the document just upload the new document over the old one. Make sure you hit the submit button.

8. Is there a size limit on the documents that I can upload?

Documents that are 200 KB or less are the easiest to upload. Anything higher makes the file difficult and slower for the districts to open.

9. I don’t have access to PDF my documents. Can I upload word documents?

PDF and Word Documents are accepted.

10. I don’t see my final evaluation uploaded in my account. Why it is not uploaded?

In order to upload a student’s final evaluation, you must submit a FERPA placement file form to our office by fax or mail. This form authorizes us to upload your final evaluation form.

11. I want to send another placement file, but I need to change out the cover letter. How do I insert a new cover letter?

Upload the new cover letter over the old cover letter and hit submit.

12. Where do I send my letters of recommendation?

Students usually upload their letters of recommendation to their placement account, unless the school district has requested confidential letters of recommendation. If they have, please have your recommendation writers mail their confidential letters of recommendation to the WGU Education Placement Center.

13. Note: After opening a placement file account, do not forget to upload your documents. Students are responsible for uploading their documents (Resume, Cover Letter, Philosophy of Teaching Statement, Course List, Letters of Recommendation and Praxis Test Results). The WGU Education Placement Center uploads your final evaluation.

Financial AidFinancial Aid

Q: When will I receive my award letter?
A: Upon receipt of a completed financial aid application, the file is assigned to a Financial Aid Officer for certification. This process can take up to three weeks. An award letter is sent via email upon completion of the file.

Q: When will funds be disbursed?
A: For first term students, funds are disbursed approximately six weeks from the first day of the term. Prior to disbursing Federal aid, the Bursar’s office must verify completion of EWB and matriculation, fulltime enrollment, and AAV. For all continuing terms, funds are disbursed approximately two weeks from the first day of the term. Prior to disbursing Federal aid, the Bursar’s office must verify prior term SAP, fulltime enrollment, and AAV.

Q: When will I receive my excess funds check?
A: The Bursar’s office will calculate and issue an excess funds check within fourteen days of receipt of Federal funds. This does not include standard postal time. As a reminder, Federal funds are to be used for approved educational and living expenses only.
